The Department of Ecology is hiring a Records and Public Disclosure Coordinator (Forms & Records Analyst 3)within the Spill Prevention, Preparedness, and Response Program.
Location:
- Headquarters Office in Lacey, WA.
- Upon hire, you must live within a commutable distance from the duty station.
Schedule:
- This position is eligible for telework and flexible schedule options.
- As physical records are stored at the Headquarters Office, you will be required to work on-site at least three days per week.
- Schedules are dependent upon position needs and are subject to change.

In this role, you will serve as the Records and Information Management (RIM) Coordinator for the Spills Program. This critical position involves frequent collaboration with diverse team members focused on preventing, preparing for, and responding to spills. Given the emergency nature of much of our work, effective records management is essential to support our mission. You will work closely with the Information Governance Office and lead the program in developing records retention guidance and fulfilling public disclosure requests and litigation holds.
What you will do:
- Serve as the program’s lead expert in identifying and analyzing paper and electronic record/file system problems, and recommend improvements and efficiencies for digital records management tools and methodologies to the Program Management Team.
- Oversee the daily delivery, distribution, access, maintenance, and overall management of the Spills Program's files and records.
- Manage the Spills Program library and maintain shared record and file system.
- Maintain file inventories and track records disposition.
- Establish and maintain processes and practices to maintain Spills Program files in accordance with the records retention schedule.
- Support the development of record retention schedules, essential records protection programs, and procedures for records disposition and transfer.

Required Qualifications:
Six (6) years of experience and/or education as described below:
- Experience with administrative support, forms, and/or records management.
- Education: College-level coursework.
Examples of how to qualify:
- 6 years of experience.
- 5 years of experience AND 30-59 semester or 45-89 quarter college credits.
- 4 years of experience AND 60-89 semester or 90-134 quarter college credits (Associate’s degree).
- 3 years of experience AND 90-119 semester or 135-179 quarter college credits.
- 2 years of experience AND a Bachelor’s degree or higher.
Special Requirements/Conditions of Employment
- Must hold and maintain a valid driver's license and be able to operate a motor vehicle.
Desired Qualifications:
- Knowledge of state public disclosure, records retention, and purchasing regulations and requirements.
- At least two (2) years of experience in forms and/or records management.
